Access and agreement records
We record your invitation identity, acceptance name, document version and fingerprint, acceptance time, IP address, browser information and session identifiers. We keep security logs of invitation attempts and access sessions. Essential first-party cookies maintain access and prevent your invitation being misused. These records support our agreement with you and our legitimate interests in securing a confidential preview and establishing legal claims.
The pending cookie lasts up to ten minutes. Access tokens last twenty minutes; the session cookie lasts up to thirty days, renewed while you visit, with an absolute ninety-day limit. A first-party visitor identifier associates repeat sessions with the invitation. These cookies are HttpOnly and are not advertising cookies.
Optional usage analytics
If you opt in, we record pages opened, clicks, scroll depth and time spent, together with your IP address and the approximate location derived from it, browser, operating system, device type, screen size, language and time zone, and the link that referred you here. This is tied to your invitation code, so the invitation owner can see which content you used. The legal basis is your consent.
Declining analytics does not prevent access. The server rejects optional analytics events for sessions without permission. Withdraw at any time using Privacy choices on a preview page, or email us. Withdrawal stops future optional measurement and does not affect processing already carried out lawfully.
Storage and access
Measurement is stored in our own database, not sold to advertisers or sent to Google Analytics or Meta. Authorised BuildTwin staff and invitation owners can see access and, where enabled, usage records. Hosting providers process connection data to deliver the site. Some pages request fonts from Adobe Typekit or Google Fonts; those services receive connection information when a font is requested.
Detailed activity events are retained for up to 400 days and then pruned. Access-session records and their technical context remain while the invitation and security or legal purposes require them. Invitation-level summary counts remain while the invitation exists. Agreement evidence is retained while confidentiality obligations and applicable legal claims require it. Contact us to request deletion or review of records; legal retention requirements may limit what we can erase immediately.
Your rights
You may request access, correction, erasure, restriction or portability where applicable, object to processing based on legitimate interests, and withdraw consent without losing preview access. Contact hello@buildtwin.com; we aim to respond within one month, subject to lawful extensions. You may complain to a competent data protection supervisory authority.
No automated decision with legal or similarly significant effects is made from your preview analytics. Do not share your invitation: activity recorded under it is associated with you.
